StudentTopper connects freelancers with employers. Every week brings new leads via Facebook and Typeform, dozens of onboardings, timesheets, invoices. The kind of business that grows fast, but where admin becomes a bottleneck just as quickly.

And that's exactly what happened. Leads were manually retyped. Onboarding went via individual WhatsApp messages. Timesheets arrived by email and were processed in Excel. Invoices? Manually created, manually sent. With every new freelancer, the chaos grew with it.

The approach: automate everything that doesn't need human judgement

We built a platform that takes over the entire process. Leads from Facebook and Typeform flow into the database automatically. Onboarding runs via automated WhatsApp flows: welcome message, document requests, follow-up after 3, 24 and 48 hours.

Google Drive folders are created automatically per freelancer. Timesheets generate invoices via Carbone. And everything is visible in one dashboard: who's working where, who's still missing documents, which invoices are outstanding.

Built with Next.js, Supabase and n8n

The dashboard runs on Next.js with Supabase as the database. Workflows run via n8n: lead intake, onboarding, invoice processing. WhatsApp messages go via the Wasender API. PDF invoices are generated with Carbone.

No single component exists in isolation. Everything talks to everything. A new lead in Typeform is visible in the dashboard within minutes, has a Drive folder, and automatically receives the first onboarding message.

The result: scaling without extra hands

StudentTopper now processes dozens of freelancers per week without anyone opening an Excel file. Invoicing runs on autopilot. Onboarding requires no manual work. And the team can focus on what matters: getting the right people in the right place.
